TY Thursday: Nonprofits, Who Do You Love?

Which should you love best?

If you’re going to go out of your way to thank a donor fabulously, creatively, as many times and as many ways as you can, which donor should it be?

Do you single out the person who gives you the most money, or the person who gives most loyally over the years?

Let me tell you two stories to help you decide.

The Sudden Passion

The receptionist at the anti-poverty agency where I worked brought me the day’s mail. I opened a handful of reply envelopes from our most recent fundraising appeal. Then I gasped. A woman who had never given us a penny before had sent in a check for $1,000!

For our little nonprofit, $1,000 was a fortune. It was ten times the amount of the average donor’s gift. And it was the first time that Jean had donated. We had great hopes for the future.

As far as I know, we did all the right things to let Jean feel the #donorlove. We

  • Sent her a thank-you letter with a personal note from the Executive Director, the same day we received her donation
  • Followed it up with a voicemail
  • Listed her in our newsletter and annual report
  • Invited her to special events

Yet we never heard from Jean again. I still don’t know why. Perhaps she meant to give to an organization in town with a similar name, and she was too embarrassed to tell us she’d made a mistake? Or perhaps we’d touched her heart just that one time, and the morning after, she realized she loved some other organization better?

I’m not sorry we had our brief moment of passion with Jean. But I’m glad we didn’t run away with her and forget about the donors waiting at home.

The Love of a Lifetime

John was a client of our agency. He couldn’t give much at a time–certainly not $1,000! But he had volunteered or served on the Board for twenty-five years.

Whenever we sent an appeal letter, he gave what he could. And when we had our twenty-fifth anniversary gala, John went around town (walking with a cane) and solicited gifts from local businesses. Back at his subsidized elderly housing, he went door to door and asked his neighbors to donate.

Over a lifetime, John raised $1,000 many times over.

Because John was shy, we couldn’t applaud him in public the way we would have liked. We sent him thank-yous and listed his donations, but we never toasted him or sent him gifts.

At Board meetings, however, we thanked him and held him up as an example. And our agency went above and beyond to make sure he  (and later, his daughter) would keep his housing and benefits, even when he was hospitalized for months at a time. That was another way of saying thanks.

Do You Have to Choose?

Ideally, of course, you’d thank every donor fervently and frequently. Aim to do that! If you have to choose, however, pick your most loyal donors at every level.

Don’t just thank your major donors. If your newsletters are full of pictures of people who pay for whole buildings or programs, then your average donor will think, “This organization doesn’t need people like me.”

Show the love to the people who, over time, show the most love to you.

TY Thursday: Here’s To You, Generous Donor!

Raise a glass to…your donor

What do we do at weddings to make the bride and groom feel extra special? We make a toast.

What can you do to make your donors feel extra special? Raise a glass and toast their generosity. (And you don’t have to wait for a party to do it!)

Salute & Say Thanks

The essence of a toast is not the liquid you drink. It’s the words you say.

A toast lets people know that you believe they’ve done a great thing. You’ve taken the time to be there and the thought to put together your speech. Both your time and your thoughtfulness lift the occasion out of the ordinary…and honor the person you’re saluting.

A toast shows that you know the person you’re honoring. That’s why the best man, the maid of honor, and the parents are logical choices to give toasts at weddings: they know what the bride or groom likes, and they have revealing stories to tell. The more you know about your donor, the better you can be at thanking them.

A toast reaffirms a relationship. When you speak publicly about what the donor has done, in a way that shows you value them as a person, you make them feel closer and more loyal to you in return.

That’s why, even if your organization is alcohol-free and you raise a glass of sweet tea instead, a toast is a unique way of thanking your donors.

Don’t Wait for the Gala!

Between the time you receive the gift and the time you hold an event, it might be months. Like a glass of bubbly that sits out on the counter, your toast might lose some of its savor if you wait that long. It will still be sweet, but a lot of the fizz will go out of it.

You don’t have to wait. Take out your camera and make a one-minute video toasting your donor. Then, post it on your website. Or send it through your social media.

If you think the donor is shy, email it to them. They will probably still share it with their family and the people closest to them.  They may even take it out and play it again from time to time, just for themselves. Like a wedding video.

Thank-You Thursday: Pick Up the Phone

Does everyone like a thank-you call?

Sometimes the best thank-you letter a donor can get isn’t a letter. It’s a phone call.

Ideally, you’d do both. When the donation arrives, call and say, “You’ll be getting an official thank-you letter in a couple of days–but I wanted to call and thank you personally.”

Or, after you know the letter should have arrived, follow it up with a call. “I wanted to thank you again and tell you how much I appreciate your gift.”

What Calling to Say Thanks Does for Your Nonprofit

First off, you will feel great about talking to a donor.

Sure, there may be an awkward moment at the start of the call. The donor isn’t used to getting called out of the blue to be told “thank you.” (Sad,  but all too true!) She or he may be wary, thinking you’re about to ask for yet another gift.

When the donor realizes that you took the time to call just because they did a good thing and you want to acknowledge it, they are delighted. They may end up thanking you!

Second, you may learn more about the donor.

If you get a live person on the call and not a voicemail, they may be in the middle of something, or just not talkative. You respect their time, thank them, and move on. But if they seem open to conversation, then do what Tina Cincotti advises:

Say — “I don’t want to take up much of your time but would you be willing to share with me what inspired you to first give to ___________ (org name)?”

You can also ask things like:

  • Why does this cause matter to you?
  • What interests you most about our organization?
  • What expectations do you have of the organizations you support?
  • How often do you want to hear from us?
  • Would you like to be involved with us in other ways beyond being a donor?

(And don’t forget to make a note of what you hear, in your donor database!)

Third, even if you leave a voicemail, you build trust.

Your donor’s relationship with you follows a predictable path: first they get to know you, then they decide they like you, and finally they come to trust you. Leaving a personal message is a step along that path.

What all this adds up to is: your nonprofit makes more money!

According to Tom Ahern, first-time donors who get a personal thank you within 48 hours are 4x more likely to give a second gift. And you want that second gift, since donor retention rates skyrocket from 22.9% to 60.8%.

So, let’s see.

Seems like a simple choice, doesn’t it?

That’s why Gail Perry says using the phone to thank donors is “highly profitable fundraising.” And Steven Shattuck of Bloomerang says you should call every new donor: no excuses!

How to Make a Thank-You Call

Who should call your donors? The best people to make those thank-you calls are Board members and volunteers. Like the donor, they have given time or money, or both, because they care about the organization and its mission. They reinforce the donor’s decision to give, because they are other people “just like you” who give.

Should your callers follow a script? They should have a script (and look at the Gail Perry and Tina Cincotti links above for examples. But they should feel free to adapt it so it sounds like their own voice. That’s particularly important when leaving voicemail. If the donor thinks it’s a sales call, she or he will hang up before hearing your gratitude. A conversational tone of voice can keep them listening.

How long should you stay on the phone? That depends entirely on the donor. If the reaction you hear is, “Oh, that’s so nice! Thank you, goodbye,” don’t try to extend the conversation. If the donor is willing to have a conversation with you, so much the better. If you reach voicemail, say what you mean to say, slowly, with feeling, and that is that.

Thank-You Calls to Mobile Phones

I’m a baby boomer. Most donors are my age or older, and we’re used to getting phone calls on our land lines (or what we used to call just “the phone”).

Increasingly, though, Generations X and Y are starting to give…and increasingly, the mobile phone is the only phone they have. On mobile phones, it’s a nuisance to see that you’ve missed a call, go to voicemail, and play it back. So, leaving voicemail on mobile is not effective: few people are picking it up.

The etiquette among younger donors is that if you call them and they recognize the caller, it’s up to them to call back. (If they don’t, then it’s your problem!) So how do you use the phone to thank a donor who’s mobile?

Text them. At least, that’s what a mobile phone expert told our friends at Blue Avocado. Actually, he advised matching the channel of the thank-you to the channel of the gift.

If someone makes a donation as a result of a text, text them right away with a thank you. A day or two later, send another thank you by email so they get two thanks. If they donated as a result of an email, send them a thank-you email right away, and then follow it up with a snail mail thank you.
