Write the ideal thank-you letter

Are you planning on sending out a lot of thank-you notes before 2016 is over?  (I hope so, since many thanks means you got a lot of donations!)

Here are some great tips on writing thank-yous that people will remember.

  1. Caryn Stein of Network for Good gives us 5 Rules for Thanking Donors.
  2. Pamela Grow shares A free thank you letter template you can swipe!
  3. Beth Ann Locke advises us, “Start with appreciation. End with thanks. And liberally sprinkle gratitude in between.” Find out how in this great article.
  4. Gail Perry of Fired-up Fundraising tells us How to Craft a Killer Thank-You Letter.
  5. I’d be silly not to mention my own article, The Ideal Thank-You Letter Went Out Today. (It’s the sequel to The Ideal Appeal Letter Begins With You.)

My friend Ann Green has it right: we should be thanking our donors all year long.  In fact, she suggests we set up thank-you calendars the same way we set up editorial calendars.

It’s not too late. Today, before any more time goes by, figure out when you’re going to write, call, email, or send a video to show donors just how grateful you are.

TY Thursday: An Open Letter to Nonprofits from Your Donor

Dear nonprofit, Can we talk?

Thanks for the amazing work you do. I mean it. And you know I mean it–because I sent you a donation. But maybe I made a mistake.

I’ve been giving to you for years, always at the same time of year. You send me a thank-you note whenever you get around to it…if at all. Sometimes the thank-you note arrives after the next time you ask for money. (Tacky, my friends, tacky.)

Between my gifts, you send me newsletters that do nothing but pat yourself on the back. I don’t want to know how great you are, even if you can prove it with statistics. I want to know what difference it makes to the cause I care about when I give. You’re not telling me that.

You asked me to follow you on Facebook. I did. But all I see there is the exact same articles you included in your newsletter, in the exact same format. I know that’s easier for you, but it does nothing for me.

Let me tell you a secret: I have a little list.

It’s the list of organizations I give to every year. You’re on that list because of the work you do–but there are other groups that do equally good work. I can’t give to all of them, and with the way you treat me, I wonder if I should drop you and add one of them to the list instead.

Now, here’s another secret: you could get me to keep you on the list and maybe even give to you more than once a year. But you’d have to change your ways.  How?

Thank me early and often. Write personally to me and tell me a story I haven’t heard yet that will convince me I gave to the right group.

Write newsletters I’ll want to read. If it’s only in there to make the Executive Director look good or the Board feel good, leave it out! Help me understand the real-world problems that my donation empowered you to solve.

Be social on social media. Don’t just post: ask questions and invite me to answer them. Reply to my answers. Comment on my posts. Let’s have a conversation, and it’s on you to inform me, entertain me, and make me glad I talked with you.

That sounds like a lot of work? Well, I’m worth it.  I and all the other donors who feel the same way.  We’re on your list…but make your communications as impressive as the program work you do if you want to stay on our list this year.

Fundraising Tuesday: Will Your Donor Marry You?

When we were ready, we both knewI never asked my wife to marry me. I didn’t have to.

When we were ready, we both knew.

We’d met when I was in grad school and Rona was already working full time. I finished my dissertation. We moved to a different city. I started a new job, and I remained the same sweet guy she thought she knew all along.

One day, Rona said, “Everything’s going fine. Should we pick a date?” I just said “Yes.” And nine months later, we were married. Yes, a June wedding!

Your nonprofit is building a relationship with every potential donor you meet.

  • A donor “goes out with” you when they get your newsletter and email. Make sure you’re charming every time.
  • They “go steady” when they follow you on social media or come to your events. Make them feel special when they do.
  • They “get engaged” when they donate time or money.  Your thank-you is like slipping on the engagement ring.
  • When they give two or three times, they’ve said “I do.”

Now, your sweet donors may not be as eager as Rona was. You may have to go down on one knee and ask. But when the donor is ready, you should know.

Your relationship should be that strong.
