TY Thursday: Give the Donors the Thanks They Want

Action speaks louderAre you trying to come up with more and better ways to thank your donors? Sometimes, what you need is not a new and improved thank-you letter, video, gift, or donor appreciation event.

Sometimes you just have to give the donors what they want.

What do the donors want?

Tom Ahern, the dean of donor communications, says the content donors want is the answers to the questions, “What did you do with the money I gave you? What difference did it make?” And they want the joy of feeling they have helped make the world a better place.

Take Tom’s advice and you’ll know what to put in your newsletter (and on your website, and on your social media)–and what to leave out. Put in stories about real people whose lives are better “because you helped.”

Everything else–the grant you got, the award your Executive Director won, the amount of money you have to raise before your fiscal year end–is what you should leave out. Unless you can find a way to present it so that your donors feel great about themselves! Then, include it. But check with some actual donors first!

Kivi Leroux Miller, who’s always both practical and inspiring, says donors want giving to be easy–and after they give, they want you to know who they are.

Take Kivi’s advice. Giving can be easy if your website has a good landing page and if once they give, you immediately acknowledge the gift (so they know “it worked!”)

Knowing who your donors are is so vital, and yet so neglected! “It’s amazing how little many nonprofits can tell you about their donors beyond their giving history, and that makes good marketing and fundraising tough,” Kivi says. If you know what your donors care about–including interests that don’t seem at first to touch on your mission–you can send communications that make them feel “This was written just for me.”

Joe Garecht, The Fundraising Authority, says donors want non-reciprocated value. In other words, be generous to them, too! Don’t just trade return address labels for a donation.

Take Joe’s advice. Find ways to be helpful to your donors, without expecting anything in return, “such as when you come across two donors who might find value in working together in their businesses, and offer to set up and attend a lunch meeting to introduce them.”

Customer service is the best thank you.

People in business know that their customers’ experience with them is reason those customers come back–or don’t. No amount of advertising can overcome a customer’s interaction with an employee who is rude, inattentive, poorly informed, or just plain unhelpful.

For nonprofit organizations, donors are our customers. Yes, they are “buying” services for other people–our clients! But customer service is still the key to seeing those donors again. Let’s put it in terms that fit the nonprofit sector:

Fundraising Tuesday: The Right Tools Help

Feel like a numberYour supporters aren’t numbers. Why are you keeping track of them with a spreadsheet?

A recent study by Software Advice, a consultancy that helps nonprofits find software, found that 52% of the organizations they studied currently use general-purpose software, such as Microsoft Excel or Google Drive, to manage data. That includes all the data on their donors and prospects.

I feel your pain, nonprofits. You’re strapped for time and short on money. That makes you use the tools you already have–especially if they’re free.

But free is not always the best price.

What it Costs You to Use Free Tools

Using Excel or Google for your fundraising database may be fine if all you want to do is look up what you know about one person. Suppose, however, that you want to:

  • Send a carefully crafted email to only those people who have given more than $100 as a donation and who live in the zip codes closest to your office.
  • Keep track of registration for a gala or other event.
  • Print call sheets for a phone-a-thon.
  • Automatically send a welcome message and a series of follow-ups to new members.

You can’t do any of those directly from free tools.

If you want to send a targeted email message, for example, you might have to create a distribution list in Outlook, export it to Excel, import that to an email marketing system like MailChimp or Constant Contact, compose and schedule the email, and then enter the results back in Outlook–all by hand. What a waste of time! Don’t you have better things to do?

Better Tools for the Personal Touch

“Nonprofits have always tracked donors and contributions, but increasingly, buyers are requesting robust constituent relationship management (CRM) systems and outreach tools,” says Janna Finch of Software Advice, the author of the study.

Why invest in that kind of tool? The paradox is that the more high-tech systems let you keep in touch with your donors and supporters in a more personal way. As Finch explains:

CRMs let nonprofit staff track information beyond a supporter’s name, address and contribution amount, including specific interests, professional experience, relationships, participation in activities, and more. Leveraging this knowledge, fundraisers can create a personalized message that targets a group of supporters that is more likely to turn a fence-sitter into an active donor, advocate or volunteer.

The Power of Personalized Asks

It’s a sad truth that big corporations like pharmacy chains and health insurance companies treat me more personally than the causes I support. Part of the answer is to invest in tools that will let you, the nonprofit, track your relationship with me, the donor, and let me know you care.

Quoting Janna Finch of Software Advice again:

“Here’s a comparison to illustrate the power of personalization. The first is a sample of a generic ask letter sent to all supporters; the second is personalized and targeted to past donors who are also teachers working in a school district the organization serves.”

Generic: Once again, we’re holding our annual drive to collect contributions to supply underprivileged students with school supplies for the upcoming school year. Since our organization relies on the generosity of individuals such as yourself, would you consider a donation to our cause?

Personalized: As a teacher, you are undoubtedly aware of how having the necessary school supplies impacts a student’s educational experience. Thanks to your $100.00 donation last year, 23 underprivileged students in your school district started the year fully-stocked with supplies. Would you consider another donation this year to ensure every student has all the supplies he or she needs?

Neither of these is the ideal appeal letter–but the personalized one will win every time. And you can only write the personalized letter if the data are ready to hand. A CRM tool will help you let the donor know he or she is not just a number to you.

TY Thursday: Write a Creative Thank-You Letter

thank-you letterWe’ve been talking about “creative” ways to thank your donors using videos, phone calls, poetry, and gifts. But who says a traditional thank-you letter can’t be creative too?

What You Need to Know Before You Thank

First, get the basics right. As Allison Gauss reminds us:

For a truly meaningful thank you, there are a few things you should know about the person you’re thanking.

  1. Who is the donor?
  2. Which campaign or program did they give to?
  3. How will you turn their gift into impact?

Great Advice on How to Start

Once you know your donor and you can state how their donation will make a difference, you can start writing. Where do you start? You’re in luck! Generous experts have given us all great advice on to write letters our donors will treasure.

  • Beth Ann Locke advises us, “Start with appreciation. End with thanks. And liberally sprinkle gratitude in between.” Find out how in this great article.

Writing the Ideal Thank-You Letter

I’d be silly not to mention my own article, The Ideal Thank-You Letter Went Out Today. If you wrote the ideal thank-you letter, you:

  • Called me by name.
  • Confirmed how much I gave you.
  • Told me how my gift would make a difference.
  • Illustrated my impact with a story.  Another story, besides the one in your appeal.
  • Included a photo or image to make my impact real.
  • Told me about how else I can help: by volunteering, or liking you on Facebook, or spreading the word to my friends. (The famous “call to action.”)
  • Signed it by hand, and wrote something just for me.

Be Creative! It’s Never Too Late

Are you looking back at that perfunctory piece of paper you mailed in December  and wishing you had taken the time to write a better letter? It’s never too late!

Pick some first-time donors, some loyal donors, and some major donors from your list.

Write to them, “I was thinking of you again today because something happened today that only happened because you gave.”

Tell them a story. Show them a photo. Give them the details. And give them the credit.

Your donors will thank you!
